The answers to your questions

Finding the right creative partner is tough. So here's some FAQs to help you work out if we're the right fit. Anything else you need, just ask. We're here, we're happy to chat and we're pretty sure we'll have the answers.

Frequently Asked Questions

General

What do I need to do before starting a project?

Just a few things: a signed scope, a deposit, and a clear line of communication. We’ll also need your trust (and a bit of excitement doesn’t hurt). After that, we’re off to the races.

What are your payment terms?

50% upfront, and the rest in structured phases throughout the project. We work to a schedule, so payments align with time, not milestones. Keeps things simple, transparent, and fair for everyone.

We have limited budget, will you still work with us?

Possibly. We’re always open to a good conversation. If there’s a great idea and clear ambition, we’ll try to find a way to help, even if it’s just pointing you in the right direction.

Do you sign NDAs before we speak?

Absolutely. We respect confidentiality and are happy to sign an NDA before we chat. Just send one over, and we’ll take care of the rest.

What services do you offer?

Brand strategy, identity, Webflow websites, campaigns, content, and the glue that holds it all together. We don’t just make things look good, we make them work too.

We’re not based in the UK, does that matter?

Not at all. While our studio is based in the UK, our clients are dotted across the world, from Barcelona to Nashville. We work just as well over Zoom as we do over coffee.

What makes a client a great fit for Polar?

We do our best work with people who care. Care about quality, about the details, about doing something different. We love working with teams that are collaborative, curious, and committed to building something remarkable. Not just ticking boxes.

What types of industries and companies do you work with?

We partner with founders, leaders, and marketing teams across mixed industries, from luxury transport and tech to food startups and global insurance brands. If you're bold, ambitious, and up for doing things properly (no cutting corners here), we’ll get along just fine.

Process

Do you outsource any work?

All core work; strategy, design, development, and content is handled in-house by the Polar team. But when a project needs something beyond our discipline (like motion, 3D, PR, or digital marketing), we bring in trusted specialists we’ve worked with for years. These aren’t strangers, they’re part of our extended team, carefully chosen because they add serious value without compromising quality or flow.

What if I don’t like what you create for me?

That’s rare (and we mean rare), because we involve you early and often. But if something’s off, we’ll fix it. Revisions are part of the process and we never hit the activate button until you're proud to put your name on it.

How do you manage client communications and collaboration?

You'll have your own dedicated Google Chat channel. Ask questions, send files, review conversations, have check-ins whenever you want.

How much input will we have during the process?

Plenty. You’ll be involved at key moments, from early insight to strategic direction and creative feedback. We won’t spend the process just asking for feedback. We will build with you, not just for you.

How many people with be working on our project?

If it's a brand or website project, the whole team. If it's an ongoing retainer, depending on scope of campaign, 3-5 of our team.

How will your team learn about our business?

We don’t just read the brief and nod along. We get in the room, meet your people, and ask the right questions. Our process starts with proper research: desktop, market, competitor, and cultural. But the magic happens in conversation. Whether it’s an in-person Icebreaker session or time spent with your team, we focus on understanding the nuances, the stuff you can’t always put into words.

How long does a branding project usually take to complete?

Most of our branding projects take 6–10 weeks. We only work on a small number of projects at a time, which means you get our full focus, fast turnaround, and senior team attention throughout. We don’t drag things out, but we don’t rush the good stuff either. Quality needs space to breathe, and our process is built to deliver it.
